Information We Collect

Account Information

When you create an account or start a free trial, we collect:

  • Full name

  • Company or workspace name

  • Password (stored only as a secure one-way hash)

Passwords are encrypted using bcrypt hashing. We never store or have access to plaintext passwords.

Documents and Uploaded Content

When you upload files to Budi, we may store:

  • Original uploaded files (PDF, DOCX, and other supported formats)

  • Extracted text used for search and AI responses

  • Document metadata such as file name, upload date, size, category, and page count

Usage Information

To operate and improve the platform, we collect:

  • Questions submitted to Ask Budi

  • Quiz attempts and scores

  • Pulse notes and check-ins

  • Audit logs, including uploads, edits, completions, and related activity

Questions submitted to Ask Budi may be associated with a workspace and user role for analytics purposes, but are not used to personally identify users in aggregate reporting.

Audit logs may include user name, email address, and IP address when enabled by the workspace administrator.

Free SOP Builder

The Free SOP Builder available at:

budiapp.io/free-sop-builder

operates primarily in your browser.

Information entered into the SOP Builder is not stored by Budi unless you explicitly choose to save content to your workspace while logged into an account.

Information We Do Not Collect

  • We do not sell personal information to advertisers or third parties

  • We do not use third-party advertising trackers

  • We do not use Google Analytics, Mixpanel, or similar analytics platforms

How We Use Information

We use collected information to:

  • Operate and maintain the platform

  • Authenticate users and manage workspaces

  • Process documents and generate AI-powered responses

  • Deliver onboarding, training, and operational workflows

  • Send transactional emails such as verification links, password resets, invitations, and trial notifications

  • Improve platform performance and product functionality

  • Enforce plan limits and security protections

We do not sell personal information.

Budi relies on trusted third-party providers to operate the platform.

Limited portions of uploaded document text and user questions may be processed by OpenAI to generate responses and platform functionality.

Data submitted through OpenAI’s API is not used to train public OpenAI models.

Data Storage and Security

We take reasonable measures to protect customer data, including:

  • Encrypted database connections

  • Secure cloud infrastructure hosted on Google Cloud Platform (United States)

  • Password hashing using bcrypt

  • Role-based access controls

  • Tenant-level data isolation

  • Authentication and API rate limiting

  • File validation and upload protections

While no system can guarantee absolute security, we continuously work to protect customer information and platform integrity.

Data Retention

Unless otherwise required by law:

  • Account data is retained while accounts remain active

  • Uploaded documents remain available until deleted by the workspace

  • Free trial accounts may be deleted after 90 days of inactivity or expiration

  • Audit logs may be retained for up to 1 year

  • Aggregate analytics data may be retained indefinitely

Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access your personal data

  • Correct inaccurate information

  • Request account or data deletion

  • Export uploaded documents

Acceptance of Terms

These Terms of Service (“Terms”) govern your access to and use of the Budi platform, including budiapp.io, app.budiapp.io, and related services (collectively, the “Services”).

By accessing or using Budi, you agree to these Terms. If you do not agree, do not use the Services.

Eligibility

You must be at least 18 years old and legally capable of entering into binding agreements to use Budi.

If you use Budi on behalf of a company or organization, you represent that you have authority to bind that organization to these Terms.

Accounts and Access

To access certain features, you may be required to create an account.

You are responsible for:

  • Maintaining the confidentiality of your login credentials

  • All activity occurring under your account

  • Ensuring information provided is accurate and current

You agree not to:

Customer Content

You retain ownership of documents, files, SOPs, training materials, and other content uploaded to Budi (“Customer Content”).

By using the Services, you grant Budi a limited license to:

  • Store

  • Process

  • Analyze

  • Display

Customer Content solely for the purpose of operating and improving the Services.

We do not claim ownership of your Customer Content.

You are responsible for ensuring that uploaded content:

  • Does not violate laws or regulations

  • Does not infringe intellectual property rights

  • Does not contain malicious code or harmful material

AI-Generated Content

Budi uses artificial intelligence services to generate:

  • Answers

  • Summaries

  • SOP drafts

  • Training materials

  • Recommendations

AI-generated outputs may occasionally contain inaccuracies or incomplete information.

Customers are responsible for reviewing and validating generated content before relying on it in operational, legal, safety, compliance, or employment-related decisions.

Budi does not guarantee:

  • Accuracy

  • Completeness

  • Regulatory compliance

  • Fitness for a particular purpose

of AI-generated outputs.

Acceptable Use

You agree not to use Budi to:

  • Violate laws or regulations

  • Upload unlawful, abusive, or harmful material

  • Interfere with platform operation or security

  • Reverse engineer or attempt to extract source code

  • Abuse APIs, rate limits, or system resources

  • Upload viruses, malware, or malicious code

We may suspend or terminate access for violations of acceptable use policies.

Intellectual Property

The Budi platform, software, branding, interfaces, and related technology are owned by Monroe Solutions DBA Budi and protected by applicable intellectual property laws.

Except as expressly permitted, you may not:

  • Copy

  • Modify

  • Redistribute

  • Resell

  • Reverse engineer

any portion of the Services.

Data and Privacy

Use of the Services is also governed by our Privacy Policy.

By using Budi, you acknowledge and agree to the collection and processing of information as described in the Privacy Policy.

Third-Party Services

Budi may rely on third-party providers including cloud infrastructure, AI services, and email delivery providers.

We are not responsible for outages, interruptions, or failures caused by third-party services outside our reasonable control.

Service Availability

Disclaimer of Warranties

THE SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE.”

TO THE MAXIMUM EXTENT PERMITTED BY LAW, BUDI DISCLAIMS ALL WARRANTIES, INCLUDING:

  • MERCHANTABILITY

  • FITNESS FOR A PARTICULAR PURPOSE

  • NON-INFRINGEMENT

  • ACCURACY

  • RELIABILITY

  • AVAILABILITY

We do not guarantee that the Services will meet all operational, regulatory, or business requirements.

Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW:

BUDI SHALL NOT BE LIABLE FOR:

  • INDIRECT DAMAGES

  • INCIDENTAL DAMAGES

  • CONSEQUENTIAL DAMAGES

  • LOST PROFITS

  • LOST DATA

  • BUSINESS INTERRUPTION

ARISING FROM OR RELATED TO USE OF THE SERVICES.

IN NO EVENT SHALL BUDI’S TOTAL LIABILITY EXCEED THE AMOUNT PAID BY YOU TO BUDI IN THE PRECEDING 12 MONTHS.

Indemnification

You agree to indemnify and hold harmless Monroe Solutions DBA Budi from claims, liabilities, damages, and expenses arising from:

  • Your use of the Services

  • Violation of these Terms

  • Uploaded content

  • Misuse of AI-generated outputs

Termination

You may stop using Budi at any time.

We reserve the right to suspend or terminate access if:

  • These Terms are violated

  • Use creates security or operational risk

  • Required by law

Termination does not remove obligations or liabilities accrued before termination.

Governing Law

These Terms shall be governed by and interpreted under the laws of the State of Wisconsin, without regard to conflict of law principles.

Changes to These Terms

We may update these Terms periodically.

Continued use of the Services after changes become effective constitutes acceptance of the updated Terms.
